What we collect

We ask for your selected area, reply language (including a language you enter when you choose Other), institution or campus, study stage, accommodation timing, funding status, budget, transport and room preference, plus your preferred name, email address and agreement for us to respond. Programme, mobile number and an additional message are optional. We also record the page path from which you send the enquiry.

Why we use it

We use these details to understand your enquiry and contact you about it. Submitting an enquiry does not reserve accommodation.

Verification

We use Cloudflare Turnstile to help protect the enquiry form from automated misuse. The verification check is shown only when you reach the contact-details step. Cloudflare receives your IP address for Turnstile verification and rate limiting. Gradhaven's Worker does not add that address to its enquiry database, notification emails or custom logs. Cloudflare may keep limited request and security records under its own retention terms.

Who handles your enquiry

Gradhaven is responsible for your enquiry. We use Cloudflare to host the website, protect the form, store enquiry records and send notifications. The complete enquiry is sent only to two fixed Gradhaven operational recipients. Their business mailboxes are hosted by Proton and Afrihost. Where one of these providers processes information outside South Africa, Gradhaven relies on applicable contractual and legal safeguards.

Your choice and rights

The fields marked as required are needed for Gradhaven to review and answer your enquiry. You do not have to submit an enquiry, but we may not be able to respond without those details. You may ask us to access, correct or delete your personal information, or object to its use.

How long we keep it

We keep the enquiry record and its linked delivery record for 12 months from submission, then delete them from the enquiry system. The fixed recipients keep notification copies in their business mailboxes for the same 12-month operating period and then delete them, unless a legal obligation or dispute requires longer retention. Delivery and security records held by service providers follow their own retention terms. You may ask us to delete your information sooner where the law allows.
